Capturing and organizing all the information discussed in a meeting can be challenging. With Rovoand Advanced Panelboxes, you can create comprehensive overview pages and Jira tickets directly from your Confluence page. This step-by-step guide will show you how to efficiently capture and organize all the essential information from your meetings. Directly watch the video⬇️
Step 1: Transcribe Your Meeting
First, you’ll need a transcript of your meeting. Whether you’re using Google Meet, Microsoft Teams, or another platform, most services offer a way to generate a transcript. If you’re unsure how to do this, check the links above.
Step 2: Insert the Transcript into a Confluence Page
Once you have your transcript:
Navigate to your Confluence space, where you keep the meeting notes.
Create a new page or open an existing one.
Paste your meeting transcript onto the page.
Step 3: Summarize Key Points with Rovo
With your transcript in place:
Look for the Rovo symbol at the top right corner of your Confluence page.
Click on it to open the Rovo prompt.
Enter the following command: Identify discussion points, decisions, and next steps in my meeting notes.
At bitvoodoo, we’ve found that categorizing information this way improves clarity and follow-through. Rovo will process your transcript and you can insert a summarized version into your page, organized into the specified categories.
Step 4: Improve readability with Advanced Panelboxes
To make your page more visually appealing and easier to navigate, you can insert an Advanced Panelboxes macro. Here is how you do it:
Type “/” on your Confluence page to bring up the macro menu.
Insert the Advanced Panelbox macro.
Why Use Advanced Panelboxes?
Administrators can customize the appearance of different content categories (like discussion points, decisions, and next steps) to create a consistent look across all documents. Any changes made to these styles will be automatically applied to all pages using these elements, improving your notes’ overall look and feel. This makes your notes more visually appealing and improves readability to help you quickly identify important information.
Step 5: Create Jira Tickets Directly from Your Notes
The section “next steps” you created earlier is suitable for creating tickets directly on the Confluence page. To do so, follow the steps below:
Highlight a sentence or bullet point representing a task or issue in your notes.
Upon highlighting, you’ll see a menu appear.
Click on Create Jira Issue (located next to the Atlassian Intelligence button).
Rovo Integration: Based on the highlighted text, Rovo will generate a summary and detailed description for the Jira ticket.
Customization: Before creating the ticket, you can adjust any elements, such as the issue type, priority, assignee, or additional details.
Click Create to generate the Jira issue.
This easy integration ensures that actions are promptly tracked in Jira, facilitating better project management and accountability.
All these steps are outlined in the video below.
With this easy-to-implement workflow, you can transform lengthy meeting transcripts into organized notes and actionable tasks with minimal effort.
Try it out at your next meeting and experience the difference!
